Client Communications - Office Coordinator (Bilingual Spanish)

The Client Communications and Office Coordinator is responsible for providing excellent customer service for our potential new clients and managing all client communications. They intersect with our Attorneys, Legal Research Analysts, Legal Assistants, and the Executive team. This person will be expected to handle all phone and web-based leads, open, close, and manage files, report on calls, oversee calendars and scheduling, run meetings and present on various topics, and perform other administrative tasks, including handling mail, shipping, and ordering office supplies. The Client Communications and Office Coordinator is a true team player and is revered as a key part of our business.As a Client Communications and Office Coordinator, you will play a pivotal role in engaging potential new clients (PNCs), onboarding new clients, and managing communications and document retention related to this. You will be responsible for a range of tasks, including, but not limited to, the range of items listed in Responsibilities below.Paid vacation/sick time and medical benefits, 401K, all federal holidays off, and professional learning program.Note:

Responsibilities:
o Answering incoming telephone calls, and responding promptly to web-based queries, with a friendly and professional demeanoro Sales of consultation over the phone and their schedulingo Efficiently creating and managing documents and files related to PNCs and existing clientso Facilitating the electronic signature process for intake paperworko Conducting Introductory Call with PNC and new client Welcome Meetingo Schedule follow-up phone calls, web-based meetings, and events with PNCs, clients, referral sources and speaking opportunities with Managing Attorneyo Create and send materials to PNCs, clients and referral sourceso Conduct outreach to potential and existing referral sourceso Helping with seminars/webinars, presentations and other marketingo Occasional administrative and legal tasks, as needed
Qualifications:
o At least 5 years experience in a professional office environmento Sales experienceo Spanish speakingo Proficiency in MS Outlook (email and calendar), Word, Excel, PowerPoint, and Teamso Strong telephone answering and verbal communication skillso Experience with scheduling and calendaring meetingso Attention to detail and the ability to meet deadlineso Experience with drafting administrative materials and spreadsheetso Solid listening and empathy skillso Experience with conducting internet and database research and organizing findingso Self-motivation and capability to work independentlyPreferred

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
